This Refund & Cancellation Policy explains how cancellations, rescheduling, missed lessons, refunds, and payments are handled by Ghaith Academy.
By booking a lesson, enrolling in a program, or making a payment, you agree to this policy.
1. Lesson Cancellation and Rescheduling
If you need to cancel or reschedule a lesson, please notify Ghaith Academy as early as possible through the official communication channel provided to you.
We will make reasonable efforts to offer an alternative lesson time, subject to teacher availability and the student’s schedule.
2. Notice Period
To request a reschedule, parents, guardians, or adult students should notify Ghaith Academy at least 24 hours before the scheduled lesson whenever possible.
Requests made with less than 24 hours’ notice may be treated as a missed lesson, depending on teacher availability and the reason for the request.
3. Missed Lessons
A lesson may be treated as missed when:
- The student does not attend at the scheduled time.
- The parent, guardian, or adult student does not provide advance notice.
- The student is unavailable for a significant part of the lesson.
- Contact attempts are not answered within a reasonable time after the lesson begins.
Missed lessons are generally not refundable and may not be eligible for a make-up lesson.
Ghaith Academy may make exceptions in genuine emergencies or exceptional circumstances at its reasonable discretion.
4. Teacher Cancellation or Academy Rescheduling
Where a teacher is unavailable, or a lesson must be postponed because of a scheduling issue on the academy’s side, Ghaith Academy will make reasonable efforts to:
- Reschedule the lesson at a suitable time; or
- Arrange a replacement teacher where appropriate; or
- Credit the affected lesson toward a future session.
5. Technical Issues
Students and families are responsible for ensuring access to a suitable device, stable internet connection, and the agreed online learning platform.
Where a lesson is interrupted because of a technical issue on the student’s side, Ghaith Academy will make reasonable efforts to assist where possible. However, a replacement lesson is not guaranteed.
Where a major technical issue occurs on the academy’s or teacher’s side and materially affects the lesson, we will make reasonable efforts to reschedule or credit the affected time.
6. Refund Eligibility
Refund requests may be considered when:
- A paid program cannot be provided as agreed due to an academy-side issue.
- A payment was made in error or duplicated.
- A program is cancelled by Ghaith Academy and a suitable alternative cannot be arranged.
- Exceptional circumstances justify a refund review.
Refund decisions are assessed individually based on attendance records, lessons already delivered, communication history, payment details, and the specific circumstances of the request.
7. Non-Refundable Situations
Refunds will generally not be provided for:
- Lessons already delivered.
- Missed lessons without sufficient notice.
- Changes in personal schedules, time zones, travel plans, or availability after enrollment.
- Internet, device, or technical issues outside the academy’s reasonable control.
- Dissatisfaction based solely on personal preference after lessons or course materials have already been provided.
- Failure to attend a scheduled lesson or respond to teacher communication.
8. Subscription, Package, or Monthly Payments
Where students enroll in a package, monthly plan, or recurring learning arrangement, payment details and lesson arrangements will be communicated before enrollment.
Any unused future lessons may be reviewed for rescheduling, credit, or refund eligibility according to the circumstances and the agreed learning arrangement.
9. How to Request a Refund or Review
To request a refund, cancellation review, or payment clarification, please contact Ghaith Academy with:
- Student name
- Parent or guardian name, where applicable
- Payment date and amount
- Program or lesson details
- Reason for the request
- Any relevant supporting information
We aim to review eligible requests within a reasonable timeframe.
10. Changes to This Policy
Ghaith Academy may update this Refund & Cancellation Policy when needed to reflect changes in services, scheduling practices, payment methods, or legal obligations.
The latest version will always be published on this page with a revised effective date.
